Using consistent email signatures for @centerforhumanservices.org email accounts is an opportunity to create brand alignment while relaying relevant contact information.

In addition, consistent and clear email signatures present a professional appearance for conducting business through email.  We appreciate that we are a diverse agency of humans. For this reason, we have several optional features for you to personalize your signature in a standardized way.

Formatting Guidelines

The following are guidelines for employees and volunteers using an agency email account:

Less is more: Email signatures should be under 10 lines. If you feel you need to add more information, use pipes (|) to separate components adding two spaces between content and pipes.

Font: Use 11-point Calibri which is a standard font on both Mac and PCs and works in all email clients. Non-standard fonts and HTML may not translate across email clients.

Color: The blue color is to be used for your name, the agency name (blue/plum), and your department/site only. All other fonts should be black.

Phone numbers: Include the phone and/or fax numbers you use regularly, with your primary phone listed first. Keep all phone and/or fax numbers on the same line. Don’t include a cell number if it’s not something you often use or want to share broadly.

Program/Department (if applicable): Depending on the length of your program/department name, this may be displayed next to the agency name with a pipe (|) separating, or this may be displayed on the line below the agency name.

Replies/Forwards: You may have a simplified version of the email signature for your replies and forwards. The logo is optional for this signature only.

Optional features include:

  • Degrees, licenses or certifications after your name
  • Your preferred pronouns
  • Listing your email address
  • Links to our social media sites
  • Confidentiality notice

DO

Ask questions. If you are unsure how to format your signature due to a special circumstance (i.e., you have multiple sites), ask us!

DON’T

  • Use quotes or epigraphs in business communications to keep the message professional and to avoid having others assume a particular statement represents the entire agency.
  • Use other fonts or colors outside of what is allowed.

Creating Email Signatures in Microsoft Outlook

We recommend copying and pasting from the provided Word document which will have the proper formatting and hyperlinks. If you do it manually, please make sure to follow the proper formatting guidelines as outlined above.

You may create a separate signature for replies/forwards if you prefer. Setting a default signature automatically includes your signature in new messages, and if you choose, in your replies/forwards.
